Three Communication Tips for Event Experts

Some of our greatest successes of the past year … especially with new clients … were centered around communication. Post-event meetings were filled with terms like “instant trust”, “proven process”, and “flexibility”. Here’s what works for us and our clients … hopefully it can work for you too!

Instant Trust

We work with organizations in different capacities and aren’t always their only Technical Production Partner. That allows us to see the client experience from a different perspective.

If you work in a production agency, corporate communication, or nonprofit environment, make sure your technical partner understands what amount of detail you need so they can tailor the conversation appropriately. Unfortunately, many have trouble seeing past the technology so discussing your expectation early in the process is important.

If you’re on the technical side of the fence, geek out with your counterparts but tone it down with the client. Focus on outcomes rather than means. Unnecessary technical information can be confusing and is often non-productive.

Pro Tip: Trust is developed through clear communication and outcomes … not being the nerdiest person in the room.

Proven Process

Process is an important component in communication. Everyone understands who owns each task, when it’s expected to be completed, and how modifications affect others. This leads to seamless integration between organizations and reduces the frustration sometimes associated with events.

Defining process also maintains consistency from client-to-client, event-to-event, and within your organization. It becomes much easier to track bi-directional deliverables, share information, and even handoff your role to a teammate without concern.

Flexibility

So, if process is so important … why would we list flexibility too? Aren’t those the opposite of each other?

There’s a difference between flexibility and reckless compromise. When everyone participates within the same framework, changes or modifications become painless. It’s easy to be flexible in some ways when everything else is fairly ridgid.
